Plans & Billing

Understand account plans, billing status, usage, and subscription management.

Billing is managed at the account level. All projects, forms, entries, files, and team members in the account share the same billing status and plan.

Plans

FormWork plans are designed around account usage.

Plans can include limits or usage tracking for:

  • Projects
  • Admin users
  • Submitted entries
  • Submitted entries in the current billing period
  • File storage

Your billing page shows the current plan, subscription status, and tracked usage.

Billing Status

Accounts can be in different billing states.

StatusWhat it means
TrialingThe account is in its trial period and can use metered features.
ActiveThe account has an active subscription.
InactiveThe account cannot perform some metered write actions until billing is updated.

Inactive billing does not mean your data is deleted. It means certain actions are paused until the account is reactivated.

What Can Be Blocked

When billing is inactive, actions that create new usage may be blocked, including:

  • Creating projects
  • Inviting or promoting admin users
  • Submitting entries
  • Uploading files

Existing data remains available according to account permissions.

Managing Billing

Account admins can manage billing from the account billing area.

Depending on the account state, the billing page may offer:

  • Checkout to start a subscription
  • A billing portal to update payment details
  • A billing portal to manage or cancel the subscription

Only account admins can start checkout or open the billing portal.

Usage Meters

Usage meters help teams understand how the account is being used.

Common meters include:

  • Number of projects
  • Number of admin users
  • Total submitted entries
  • Entries submitted in the current billing period
  • File storage used

Some plans may show overage information for visibility. If you are close to a limit, review old test projects, exported files, and admin seats before upgrading.

Stripe Billing

FormWork uses Stripe for checkout, subscription updates, and the billing portal.

If a payment or subscription status changes in Stripe, FormWork receives that update automatically. The billing page may take a short time to reflect recent payment changes.

Best Practices

  • Keep at least two admins on active business accounts.
  • Use test projects for testing and archive or remove them when no longer needed.
  • Review file storage if forms collect large uploads.
  • Check billing status before launching a high-volume campaign.
