Plans & Billing

Understand plans, account usage, trials, subscriptions, and billing-gated writes.

Billing applies to an entire account. The Billing panel shows the current plan and status, trial or period dates, usage, and the action available for managing the subscription.

Plans and prices can change. The Billing panel always shows the current options for your account.

What each meter means

  • Projects — projects in the account.
  • Admin users — members whose role is Admin. Standard users are not counted here.
  • Submissions this period — entries submitted within the current billing period.
  • Workflow steps this period — step executions entered during the period.
  • Stored records — non-deleted normal entries plus Data Table rows; linked metafield entries are excluded.
  • File storage — size of non-deleted stored files.

Usage is calculated from current data. Deleting eligible records or files reduces storage-oriented counts; period submission and workflow meters remain tied to activity in the period.

Status and access

An account in trialing or active status can use the features listed below. After a trial expires, the account becomes inactive unless a subscription is started.

Inactive billing blocks:

  • Creating a project
  • Inviting an Admin or promoting a Standard member to Admin
  • Submitting a public entry
  • Preparing admin or respondent file uploads

Existing data remains available for normal administration. A blocked API request returns HTTP 402 with error code billing_inactive.

Limits and overages

Current plan-limit overages are displayed for visibility; they are not automatically blocked or automatically invoiced by FormWork.

Ultimate also shows estimated overage costs beyond its included projects, Admins, submissions, stored records, workflow steps, and storage. These estimates are informational and are not charged automatically.

Start or manage a subscription

Only an account Admin can open Stripe billing actions.

  • Without an existing Stripe subscription, choose a plan to open Checkout.
  • With an attached subscription, select Manage billing to open the Stripe customer portal for changes or cancellation.

Checkout collects applicable tax information and preserves any remaining trial information. The Billing panel shows whether cancellation is scheduled at the period end.

Troubleshooting

Manage billing is unavailableRefresh the page and try again. If it remains unavailable, contact FormWork support.
A write returns billing_inactiveRenew through Billing, then retry the operation.
A Standard user cannot manage billingCheckout and portal links require an Admin.
Usage is above a limit but work still continuesCurrent overages are informational and not automatically blocked.
