# FormWork vs Jotform

Canonical: https://useformwork.com/compare/jotform

Updated: 2026-10-11

Choose FormWork for shared building from £19 a month and complex form rules. Choose Jotform for integrations, parallel approvals and offline collection.

**Choose FormWork when several colleagues need their own logins to build forms, change rules and maintain the process, without moving to custom enterprise pricing.** Every plan includes unlimited members who can build and publish. Choose Jotform when its ready-made integrations solve the job, approvals need parallel paths or forms must collect answers offline.

## The decision at a glance

| Your situation | FormWork | Jotform |
| --- | --- | --- |
| Three colleagues independently build and maintain forms | Unlimited members on Starter at £19/month excluding VAT | Enterprise is the multiuser plan, with custom pricing |
| One builder needs occasional approvals from others | Approval links without an account | Sharing and approvals can serve participants on standard plans |
| A developer needs shared rules behind an embed and custom UI | Server-side calculations, conditions and validation through the same form engine | [API access](https://api.jotform.com/docs/) and an extensive ecosystem of widgets and integrations |
| Reviews must run in independent parallel paths | One current stage, with one or several approvers | Parallel paths with all/any merging |
| Staff collect answers without a connection | Internet connection required | Offline collection through Mobile Forms |

## When FormWork is a better fit

### Several people need to build and maintain the solution

FormWork includes unlimited members on every plan. Members can build forms, configure processes and automations, publish changes and work with entries. A coordinator and two colleagues can each maintain the same application-review process using their own logins, without a separate per-builder charge. [Roles and permissions](/docs/platform/users-permissions).

Jotform's [pricing FAQ](https://www.jotform.com/pricing/) identifies Enterprise as its only multiuser plan, with custom pricing. **FormWork wins on straightforward access for a team of builders:** even Starter includes their individual logins and the full form, process and automation toolset. Jotform's sharing and approval tools still let people collaborate without each becoming an independent builder; an external approver does not automatically need an Enterprise seat.

The tradeoff matters: a FormWork member is not a restricted reviewer. Everyone in an account can open every entry, and members can change the setup. That fits a trusted working team; it does not fit teams that need separate visibility or read-only staff roles. See [access boundaries](/security).

### Applications stay open while requirements change

If you add a new evidence question, FormWork lets future applications use it while unfinished applications retain the questions and validation they started with. A reviewer can understand the original answers instead of interpreting them against today's form.

Team fields, stages and automations follow the latest published version, so an improved review process can apply to older applications too. The publish review asks what should happen to entries in removed stages and automation runs already waiting. Choose FormWork when this [explicit versioning model](/product/versioned-forms) matches how you manage changing requirements.

### You need one set of rules behind several interfaces

FormWork's [nested groups](/product/nested-data) can capture several organisations, each with several people or supporting records. Stable item IDs keep integrations referring to the same repeated item as the answers change. The [server-side engine](/product/server-side-logic) applies the form's calculations, conditions and validation to both the embed and a custom interface using the API.

You can then loop over those items in an automation, create related records, wait for a date or call another system. [Run details](/docs/automations/runs) show which branch ran, its inputs and outputs, and any failure. An [AI assistant](/docs/ai-assistants/overview) can prepare changes to the form and process, test automations and investigate failures.

**FormWork is a strong fit for developers who want to own the interface while buying the form's rule engine and staff workspace.** That gives you a route from an embed to a bespoke application using the same backend. Jotform's [integrations and widgets](https://www.jotform.com/integrations/) are the stronger starting point when an existing connection already delivers the result; writing a new connection would then add unnecessary work.

## When Jotform is a better fit

**Choose Jotform for parallel approval paths.** Its [approval features](https://www.jotform.com/products/approvals/features/) include conditional branches and merging parallel paths after all or any have completed. It also provides an approver task list and approval reports. FormWork allows several approvers within a stage, but each entry has one current stage; it does not run independent process tracks alongside one another.

**Choose Jotform for offline collection.** [Mobile Forms](https://www.jotform.com/products/mobile-forms/) supports collecting answers without a connection. FormWork's server-side calculations and validation need internet access.

**Choose Jotform when its existing ecosystem solves the job.** Its templates, widgets and [integrations](https://www.jotform.com/integrations/) can remove the need to build a connection yourself. [Tables](https://www.jotform.com/products/tables/features/) adds custom columns, collaboration and several ways to view submissions. FormWork provides data tables and HTTP API connectors, but a configurable connector is not the same as a ready-made integration.

## Price the builders separately from the reviewers

For **three builders and 60 applications a month**, FormWork Starter is **£19 per month excluding VAT**. At up to ten executed automation steps per application, that uses 600 of its 1,000 monthly steps. It includes 100 monthly entries, three admins and unlimited members, within limits of 1,000 stored entries and rows, 5 GB of files and three projects. Full rules, approvals and automation tools are included. [FormWork pricing](/pricing).

For **1,000 applications a month**, Pro is **£49 per month excluding VAT**. It includes 5,000 monthly entries, 50,000 steps, 50,000 stored entries and rows, 25 GB of files and ten projects. Adding more members does not add a per-builder charge; increasing capacity or admin seats can require a higher plan.

For three independent builders in Jotform, obtain an Enterprise quote. Its standard Starter, Bronze, Silver and Gold plans have different form, submission, view and storage allowances, but are not its multiuser offering. If one person builds and the others only respond to approval requests or use shared data, a standard plan may be sufficient and considerably more appropriate than Enterprise. [Jotform pricing](https://www.jotform.com/pricing/).

**A small team can buy shared building at FormWork's starting price.** You do not need an Enterprise quote just because two more colleagues should maintain the setup. If you also need restricted staff roles or enterprise controls, compare a Jotform Enterprise quote: it includes capabilities FormWork does not match.

## Try an application and a change to it

In your [30-day FormWork trial](https://app.useformwork.com/auth/signup), start with a small application from the [application review walkthrough](/use-cases/application-review), or ask a [connected assistant](/docs/ai-assistants/connecting) to draft it. Invite a second builder, have them change a required question and inspect the publish review together. Keep one earlier application unfinished to see the version boundary in practice.

If reviewers must work independently in parallel, build that path in Jotform as well. If they must not see one another's applications, resolve the access requirement before choosing FormWork. When moving a process, rebuild its widgets, integrations, PDFs and approval messages as well as the questions.
